HQ · how we run your brand

One place to run every way to sell.

Most agencies run your TikTok Shop out of spreadsheets, Slack threads and twelve browser tabs. We built HQ instead: the platform our whole team works in, every morning, for every brand. Creator recruiting, samples, content, lives, ads and payouts, with the numbers in one place. You get a seat.

HQ Control Center for a client brand: weekly goals for videos posted, GMV and ROAS, a dark strip showing 160 samples approved this week and GMV Max ROAS of 9.72x, and a needs-attention count
A real brand's Control Center, Monday morning. Goals set, 160 samples approved, 9.72× ROAS, six things need a look.
Why we built our own

TikTok Shop moves daily. Spreadsheets don't.

An affiliate program with a thousand creators, hundreds of open samples, a live calendar and a GMV Max account cannot be run from memory. HQ turns the work into a checklist with the numbers next to it.

the tools are the process
01

Nothing falls through

Every sample has an expiry timer, every creator has a status, every campaign has a ROAS floor. When something slips, HQ puts it in the morning queue instead of waiting for someone to notice.

"26 need you" — and that's the list
02

Decisions come from the data

Who to recruit, which video to boost, which sample to approve: HQ scores it from what is already selling for your brand, so the team spends time acting, not guessing.

Recruit from data, not DMs
03

You can see all of it

Clients log into the same views the team uses. Goals, pacing, spend, creators, samples. No reformatting, no waiting for the report.

Control Center · every brand, every morning

Goals on Monday. Pacing by Tuesday.

Each brand gets a weekly target for videos posted, GMV, ROAS and samples accepted. Control Center tracks the week against it in real time and flags the gaps: creators who went quiet, briefs with no creator assigned, campaigns under the ROAS floor.

  • Weekly goals per brand, set Monday, paced daily
  • "Needs attention" queue so nothing waits for a status meeting
  • From brief to posted: concepts, assigned creators, tracker links
  • Reactivation list: top sellers who stopped posting, with DM and sample actions

Creator Database · Lookalikes

Find the creators who look like your best sellers.

HQ Lookalikes tool: a scored table of TikTok Shop creators with match score, followers, average shoppable views, TikTok Shop GMV band and the reason each creator was picked
Lookalikes for one brand: each creator scored on followers, shoppable views, sales level, categories and audience, with the reason spelled out.

Our database indexes 2M+ TikTok Shop creators with 90+ data points each, refreshed around the clock. Lookalikes takes your top sellers as seeds, works out what they have in common, then pulls the creators across the whole marketplace who match, scored and ready to invite.

  • Seed with your top twelve sellers; HQ reads what they share
  • Fifty to three hundred matches, scored 0 to 100, with the "why"
  • Filters out creators the shop already invited in the last 90 days
  • Saves straight to an outreach list: automations, workflows, auto-replies and email campaigns run from the same screen

This is how the affiliate army gets built: see the Creators pillar.

Sample HQ · request to posted video

Every sample, accounted for.

Samples are where most affiliate programs leak money. Sample HQ pulls every request from every brand into one queue, scores the creator, and tracks the unit from approval to shipment to posted video. Requests expire on a timer, so the review never backs up.

  • One queue across brands: waiting for review, ready to ship, in transit, awaiting content
  • Creator scored on followers, GMV, shoppable views, fulfillment and commission before you say yes
  • Approve or reject with one key; expiring requests surface first
  • Posted-rate per brand, so you know which products earn their samples
Sample HQ review drawer: a creator's followers, 30-day GMV, shoppable views, fulfillment rate and commission, their history with the brand, the video they posted for a previous sample, and Approve and Reject buttons
Reviewing one request: the creator's numbers, their history with this brand, the video they posted last time.
Sample HQ overview: totals waiting for review, ready to ship, in transit and awaiting content, then a card per brand with its own counts and approval and posted rates
The overview: every brand's funnel on one page.

Content Hub · top creators, top videos

Winners get found, then multiplied.

Who's selling and Make more of these: the last 30 days, ranked by GMV, with the videos to brief from.

HQ ranks every creator and every video by what it actually sold in the last 30 days. The top videos become the next briefs: our scripting engine decodes why they converted and turns them into concepts for the next round of creators, the studio, or a paid boost.

  • Creators ranked by 30-day GMV, with videos and views alongside
  • Best sellers surfaced with a one-click "make it a concept"
  • Concepts flow into briefs, briefs get a creator assigned, assignments get tracked
  • Live sessions graded minute by minute in Live HQ, 20+ KPIs plus transcript analysis

Ads & money · GMV Max

Spend watched daily, against a floor.

Every GMV Max campaign for every brand sits in one table with spend, GMV, orders, ROAS and delivery status. Each brand has a ROAS floor. Anything under it is flagged in plain English, with the action: raise the target or turn it off.

  • Thirty-day spend, GMV from ads, ROAS and orders, compared with the prior period
  • "Needs a look" calls out campaigns under the floor by name
  • Delivery problems caught the same day, not at month end
  • Winning affiliate videos handed to paid before they fatigue

Daily playbook · every day, for every brand

The work is daily. So is the checklist.

HQ daily playbook for a brand, split into Samples, Creators, Content and Ads and money columns, each with checklist steps such as clear samples expiring in 24 hours, work the reactivation list, answer draft reviews and check GMV Max against the goal
Tuesday's list for one brand. It resets every morning; the team adds steps to any group.

Good account management is a set of small things done every day. HQ writes them down. Each brand gets a daily playbook across samples, creators, content and ads, plus a weekly rhythm: set the week Monday, review drafts midweek, pay every delivered video, check against the goals on Friday.

  • Samples: clear anything expiring in 24 hours, chase unshipped units
  • Creators: work the reactivation list, assign a creator to every open concept
  • Content: answer draft reviews, post a status on every open concept
  • Ads & money: check GMV Max against goal, pay every delivered paid video

Payouts · connection

Creators paid on time. You, connected in a day.

Paid videos, retainers and bonuses are tracked per creator, per video, with the rate and the status, so nobody chases an invoice and creators keep posting. Connection is read-only through TikTok Shop Partner Center: we see orders, creators and ads; the shop stays yours.

  • "What we owe for paid videos": every deal, rate and delivery in one table
  • Commission, retainers and GMV challenges handled the same way
  • Read-only store connection, live in a day
  • Your Seller Center, your ad accounts, your history. Always.

Questions

Straight answers.

Can we buy HQ without the agency?

No. HQ is how we run brands, not a product we sell. Creators get the public side of it as the Formula app. If you want the tooling, you get the team with it.

Does HQ replace Seller Center or Ads Manager?

No. HQ reads from them through official partner connections and adds the layer they don't have: cross-brand queues, scoring, playbooks and goals. Your shop and ad accounts stay yours and stay the source of truth.

Who can see our data?

Your account team and you. Brands are separated inside HQ, and client seats only see their own brand.

How long until we're live in HQ?

Usually a day. You authorize a read-only connection in TikTok Shop Partner Center, we set the first week's goals, and the samples queue starts filling the same afternoon.
